This Privacy Policy describes how we collect, use, store, and share your information when you use our website, mobile interface, and software services.

1. Information We Collect

To provide audit-ready documentation and track material participation thresholds for your short-term rentals, we collect several categories of information:

  • Account Information: When you register for an account, we collect your name, email address, and authentication credentials through our database provider, Supabase.
  • Property Records: We collect and store information about the short-term rental properties you manage, including property nicknames, addresses, and asset configurations.
  • Activity Logs and Material Participation Data: We store comprehensive records of your time logs, including specific dates, hours spent, descriptions of tasks, and spousal participation hours.
  • Third-Party Contractor Tracking: We collect operational and time-log data relating to third-party individuals, contractors, handymen, and cleaners that you log to maintain compliance with IRS material participation rules.
  • Mileage and Travel Logs: We collect vehicle trip parameters, including odometer snapshots, origin and destination inputs, and calculated business mileage for tax deduction defense.
  • Payment and Billing Information: All payment transactions are handled securely via our third-party payment processor, Stripe. We do not store or directly process your credit card numbers or raw bank credentials on our servers. Stripe provides us with a unique customer token and subscription status indicators (e.g., trialing, active, past_due, canceled).

2. How We Use Your Information

We use the collected data strictly to operate, maintain, and secure the software platform. Specifically, your data is used to:

  • Calculate, render, and display your real-time Material Participation vs. 3rd Parties dashboard meters.
  • Generate downloadable, audit-ready PDF and CSV export reports for your tax and accounting submissions.
  • Enforce tiered feature gates and account limitations based on your active billing tier (Trial, Solo, or Premium).
  • Communicate critical account alerts, updates, or customer support inquiries.

3. Data Storage, Security, and Retention

Your account infrastructure, property records, and time logs are hosted securely through Supabase databases using industry-standard Row Level Security (RLS) protocols. This architecture guarantees that your private financial and property documentation can only be accessed by your authenticated user account. We retain your information for as long as your account is active or as necessary to fulfill the recordkeeping functions of the software, unless a complete account deletion is requested by the user.

4. Sharing of Information

We do not sell, rent, or trade your property data, mileage metrics, or time tracking logs with third-party marketers or outside corporations. Information is shared strictly with essential operational subprocessors necessary to deliver the service:

  • Supabase: For secure database hosting and user identity authentication.
  • Stripe: For processing monthly recurring subscription plans and managing billing compliance.

5. Your Rights and Choices

You maintain full ownership of your tracked records. Inside the application interface, you have the right to review, edit, export, or permanently delete your recorded properties, mileage logs, and time entries. To completely close your account and delete all associated records from our active databases, you may contact our support engineering queue.

6. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our operational or legal obligations. We will notify you of any material updates by updating the effective date at the top of this policy and posting a notice within the platform billing or account settings interface.
